Automatic doors

Automatic door service and maintenance software

Door Ops gives automatic door technicians a service sheet with a BS EN 16005 risk assessment built in, filled in on the phone with measurements, photos and signatures. The office reviews it, sends a branded PDF and an asset certificate, and gets any unsafe finding as a clear action to quote.

Key facts

  • BS EN 16005:2023 is the current safety-in-use standard for powered pedestrian doors. The 2012 edition applied to installations from April 2013.
  • BS 7036-0:2014 is the UK code of practice for risk assessment, read alongside BS EN 16005.
  • A door left unsafe should be switched off or to hold-open, and the reason recorded on the signed worksheet.

The work

What automatic door servicing involves

Automatic sliding, swing, folding and revolving doors are machines that people walk through, often without looking. A service visit checks the drive unit and control panel, activation devices, presence and safety sensors, finger and hinge protection, break-out and fail-safe systems, how the door behaves on power failure, and the signage.

Much of it is measured, not ticked. Technicians use a test box to prove the sensors detect a person in the opening and closing directions, record dynamic forces in newtons, the force needed to break out or to open the door by hand after power failure, and opening, hold-open and closing times.

Who uses the door matters. BS EN 16005:2023 changed how high risk is judged: it now turns on the consequence of contact, not on how many vulnerable people use the door. A shop or hospital entrance in a general traffic area is likely to be treated as high risk. When a door is unsafe, industry guidance is to take it out of service, tell the customer why, and follow up with a written quote.

Standards and regulations

What applies, and what it asks for.

There is no single law that says how often an automatic door must be serviced. The duty comes from machinery and workplace law, and the standards define what safe looks like.

Supply of Machinery (Safety) Regulations 2008
Powered pedestrian doors are machines. A new door, or an existing door with a significant change such as a different model of drive unit, needs a risk assessment, a Declaration of Conformity and conformity marking by whoever puts it into service.
BS EN 16005:2023
Safety in use of power operated pedestrian doorsets. It supersedes BS EN 16005:2012, which took effect for new installations from April 2013. The 2023 edition changed the high-risk test, finger protection height and revolving door protection.
BS 7036-0:2014
The UK code of practice for risk assessment and risk reduction on powered pedestrian doors, used with BS EN 16005. BSI has a revision project under way to align it with the 2023 edition and with BS EN 17352:2022 for speed lanes and turnstiles.
Workplace Regulations 1992 and PUWER 1998, regulation 5
Workplace equipment must be under a suitable system of maintenance, kept in efficient working order and good repair, and any maintenance log kept up to date. Frequency follows the manufacturer’s instructions.

How Door Ops handles it

Automatic doors work, from site to signed-off PDF.

Lite covers the paperwork: preset sheets, photos, signatures, office review and branded PDFs. Core adds jobs, the asset register, PPM and quotes.

Automatic door service sheet

A Door Ops preset combining the service with a BS EN 16005 risk assessment: door type, activation, presence sensors, drawing-in and crushing hazards, break-out and fail-safe, signage and a final door outcome.

Door Ops presets, every tier

Measurements, not ticks

Record test box detection in each direction, dynamic force and break-out force in newtons, radar detection distances in millimetres, and opening, hold-open and closing times.

Every tier

Unsafe doors on the record

The sheet asks whether the door presents an unacceptable injury risk and whether it was set to a safe position, with the action taken. That evidence goes to the office and onto the PDF.

Every tier

Certificate after office review

When the office marks the sheet reviewed, the door gets a one-page asset certificate: Pass, Pass with recommendations, or Fail. The office can preview it before that.

Issued only after office review

Works required and quotes

Failed points and recommended repairs become an AI action summary for the office, and a works required sheet can capture what the repair needs for the quote.

Quotes on Core

Door history by site

Put every entrance in the asset register with a QR label and plan servicing on PPM contracts, so the facilities manager sees every visit against the right door.

Core

Door Ops records the service and risk assessment your technician carried out. It does not issue a Declaration of Conformity, apply conformity marking or decide whether a door meets BS EN 16005. Those stay with your company.

Common questions

Which standard covers automatic door safety in the UK?

BS EN 16005:2023, safety in use of power operated pedestrian doorsets, read with BS 7036-0:2014, the UK code of practice for risk assessment and risk reduction. Behind both sits the Supply of Machinery (Safety) Regulations 2008, because powered doors are machines.

How often should automatic doors be serviced?

The law does not set a fixed interval. The Workplace Regulations 1992 and PUWER 1998 require a suitable system of maintenance and an up-to-date log, and the manufacturer’s instructions set what is done and how often. Occupiers should also carry out their own frequent safety checks between services.

What should a technician do if an automatic door is unsafe?

Industry guidance from ADSA is to switch the door off or to hold-open, tell the customer why, record the reason on the signed worksheet, and send a written quote for the work (ADSA suggests within two weeks). The Door Ops sheet records whether the door was set to a safe position and what was done.

Does replacing a drive unit make it a new door?

According to ADSA, fitting a different model of drive unit is a significant change, so the door is treated as a new machine. That needs a risk assessment, a Declaration of Conformity and conformity marking. Door Ops records the work; your company issues the declaration.

Can subcontracted technicians use the same sheet?

Yes. Send the sheet by secure link. The subcontractor completes the same service sheet without an office seat, and it comes back to your office for review.
