Terms of Service

The agreement governing your use of Door Ops. Last updated: January 2026.

1. Agreement to Terms

These Terms of Service ("Terms") constitute a legally binding agreement between you and Door Ops Limited ("Door Ops", "we", "us", or "our") governing your access to and use of the Door Ops job management software and related services (the "Service").

By creating an account or using the Service, you agree to be bound by these Terms. If you are using the Service on behalf of a business, you represent that you have authority to bind that business to these Terms.

2. Description of Service

Door Ops provides cloud-based software for door service contractors. Door Ops Lite initially includes:

- Preset-led mobile forms and worksheets with photo capture

- Customer and site records

- Admin review and approval workflows

- Branded document generation and delivery

- Team access and subscription management

Additional operational features, including dispatch, PPM, assets, quotes, invoicing, customer portal, integrations, and mobile app depth, may be made available on higher plans or future releases.

The Service is provided on a subscription basis as described on our pricing page.

3. Account Registration

To use the Service, you must:

- Provide accurate and complete registration information

- Maintain the security of your account credentials

- Notify us immediately of any unauthorised access

- Be at least 18 years of age

You are responsible for all activities that occur under your account. We reserve the right to suspend or terminate accounts that violate these Terms.

4. Subscription and Payment

Pricing Subscription fees are charged according to the plan and billing cycle shown on our pricing page. Door Ops Lite is initially sold as an organisation subscription with included team seats.

Billing

- Door Ops Lite is billed monthly in advance at the price shown on our pricing page

- Payment is due on the billing date via the payment method on file

- All fees are exclusive of VAT, which will be added where applicable

- Annual billing may be introduced later; if so, we will update the pricing page and these terms before it is offered

Free Trial New door-company accounts receive 30 days free with the selected tier’s normal usage allowances. No card is required and no payment is taken automatically. After the trial, the owner must explicitly choose a paid plan and complete Stripe Checkout to continue. The first 25 paying companies receive founder seat rates, fixed for one continuous subscription. Free signups do not reserve a founder place. Paid monthly subscriptions renew monthly; annual subscriptions are charged upfront and renew annually until cancelled.

Changes to Pricing We may change our pricing with 30 days' notice. Price changes do not apply to the current billing period.

Refunds Monthly Door Ops Lite subscriptions are non-refundable. If we introduce annual billing, any refund terms for that option will be published on the pricing page before checkout.

5. Your Data

Ownership You retain ownership of all data you submit to the Service ("Your Data"). This includes customer information, job records, worksheets, photos, and any other content you create or upload.

Licence You grant us a limited licence to use Your Data solely to provide and improve the Service. This includes:

- Storing and backing up Your Data

- Displaying Your Data within the Service

- Generating documents (PDFs, emails) as you request

- Creating anonymised, aggregated statistics

Data Isolation Your Data is logically separated from other customers. No other Door Ops user can access Your Data.

Export Available exports include standard formats such as CSV and PDF where supported. Contact support if you need assistance with a wider data request.

Deletion Upon account termination, Your Data will be deleted within 30 days, except where we are legally required to retain it.

6. Acceptable Use

You agree not to:

- Use the Service for any unlawful purpose

- Upload malicious code, viruses, or harmful content

- Attempt to gain unauthorised access to the Service or other accounts

- Interfere with the proper functioning of the Service

- Resell or redistribute the Service without authorisation

- Use the Service to send spam or unsolicited communications

- Collect or store personal data of third parties without their consent

We may suspend or terminate accounts that violate these restrictions.

7. Service Availability

Uptime We aim to keep the Service available and reliable, but do not guarantee uninterrupted access. Planned maintenance will be notified in advance where possible.

Service levels Any uptime, response or recovery figures we publish are targets, not guarantees. A service level agreement with service credits is available only under a separate written Enterprise agreement; nothing in these Terms creates one.

Your data You can export your organisation's data from the Service at any time while your subscription is active, and for 30 days after it ends, at no charge.

Support Support is available via email during UK business hours. Priority support may be included with higher plans when those plans are available.

Changes We may modify, suspend, or discontinue features with reasonable notice. Material changes to core functionality will be communicated at least 30 days in advance.

8. Intellectual Property

Our Intellectual Property The Service, including its code, design, and documentation, is owned by Door Ops Limited and protected by UK and international intellectual property laws.

You are granted a limited, non-exclusive, non-transferable licence to use the Service for your business purposes during your subscription.

Feedback If you provide suggestions or feedback about the Service, we may use it to improve the Service without obligation to you.

9. Third-Party Services

The Service integrates with third-party services including:

- Payment processing (Stripe)

- Authentication providers

- Mapping services

Your use of these services is subject to their respective terms. We are not responsible for third-party service availability or terms.

10. Limitation of Liability

Service Provided "As Is" The Service is provided without warranty of any kind, express or implied. We do not warrant that the Service will be error-free or uninterrupted.

Liability Cap To the maximum extent permitted by law, our total liability to you for any claims arising from these Terms or your use of the Service is limited to the fees you paid us in the 12 months preceding the claim.

Exclusions We are not liable for:

- Loss of profits, data, or business opportunities

- Indirect, incidental, or consequential damages

- Damages resulting from your violation of these Terms

- Damages caused by third-party services

Exceptions Nothing in these Terms limits liability for death or personal injury caused by negligence, fraud, or any other liability that cannot be excluded by law.

11. Indemnification

You agree to indemnify and hold harmless Door Ops Limited, its officers, directors, and employees from any claims, damages, or expenses (including legal fees) arising from:

- Your use of the Service

- Your violation of these Terms

- Your violation of any third-party rights

- Data you submit to the Service

12. Termination

By You You may cancel your subscription at any time through your account settings or by contacting support. Cancellation takes effect at the end of the current billing period.

By Us We may suspend or terminate your account if you:

- Breach these Terms

- Fail to pay subscription fees

- Engage in fraudulent or illegal activity

Upon termination, your access to the Service will cease. You may request a copy of Your Data within 30 days of termination.

13. Dispute Resolution

Governing Law These Terms are governed by the laws of England and Wales.

Jurisdiction Any disputes arising from these Terms will be subject to the exclusive jurisdiction of the courts of England and Wales.

Informal Resolution Before initiating legal proceedings, you agree to contact us to attempt informal resolution of any dispute.

14. General Provisions

Entire Agreement These Terms, together with our Privacy Policy, constitute the entire agreement between you and Door Ops Limited.

Severability If any provision of these Terms is found invalid or unenforceable, the remaining provisions will continue in effect.

Waiver Our failure to enforce any provision of these Terms does not waive our right to do so in the future.

Assignment You may not assign your rights under these Terms without our written consent. We may assign our rights to a successor in the event of a merger, acquisition, or sale of assets.

Notices We may send notices to the email address associated with your account. You may send notices to legal@doorops.com.

15. Changes to Terms

We may update these Terms from time to time. We will notify you of material changes by:

- Email notification

- Notice within the Service

Continued use of the Service after changes constitutes acceptance of the updated Terms. If you do not agree to the changes, you must stop using the Service.
