How Door Ops PPM contracts schedule planned door servicing, raise jobs ahead of each visit, track response times and flag renewals and overdue assets.
A PPM (planned preventive maintenance) contract in Door Ops sits on a customer and turns into planned service visits on their doors. PPM is part of Core and Plus.
Set how often each door is serviced
Pick one of two schedule types when you create the contract:
- Visits per year. For example, 2 visits a year for a warehouse's roller shutters. You can set a different number of visits per asset type, so the automatic doors on the same site can have 4 while the shutters have 2.
- Cadence. Every n weeks, months or years, for example every 6 months.
A single asset can override the contract schedule when one door needs more attention than the rest.
Jobs are raised ahead of each visit
Turn on automatic job creation and choose how many days before the due date the job should appear. Door Ops raises the service job in advance, ready for the office to plan. Nothing is sent to the customer automatically.
Service sheets and certificates
Each contract names the service form the engineer fills in. It can also name a separate compliance form. Service sheets reuse the same forms engine as reactive worksheets, so engineers see familiar fields. After the office reviews a service sheet, it can print an asset certificate.
Response and completion times
Record the response time and completion time the contract promises. Door Ops holds them on the contract so the office can see what was agreed.
Renewals are reviewed by a person
Set a renewal notice period in days. When a contract enters that window, Door Ops notifies office owners and admins. They record whether it is renewed or not renewing. Door Ops never renews a contract silently, and the decision stays in the audit trail.
Status and billing
- Contracts carry a billing frequency (monthly, quarterly or annual) and remember when they were last invoiced.
- A contract can be active, paused or ended. Pausing stops new visits without losing history.
Moving from Joblogic
Imported contract history from Joblogic is kept even when your plan cannot yet map it into a live PPM contract. Upgrade and replay the archive instead of exporting from Joblogic a second time.
